Planning Coordinator

About the Role
The Planning Coordinator plays a central role in ensuring samples move smoothly and reliably from collection to laboratory delivery. Working closely with internal teams and external service providers, this position manages day-to-day shipment activity, monitors performance, and helps keep operations running on schedule. The role also involves process improvement by identifying trends, and suggesting improvements that enhance service levels. It’s an ideal opportunity for someone who enjoys organising complex workflows, solving problems in real time, and working with a variety of stakeholders.
Key Responsibilities
In this role, you will oversee the daily flow of operations, making sure sample collections and deliveries meet agreed turnaround times and that any delays are addressed quickly. You will build strong relationships with collection service providers, acting as the main point of contact to set expectations, resolve issues, and ensure they are meeting service standards. You will use tools such as Power BI and Excel to monitor third party performance, uncover patterns or inefficiencies, and share insights that inform improvements. You will support compliance by maintaining accurate records and ensuring that sample transport follows all relevant regulations. You will keep stakeholders updated on progress, highlight potential service risks, and work with IT teams to enhance monitoring and alert systems.
Skills & Experience
Success in this position requires strong organisational skills, the ability to manage competing priorities, and confidence communicating with both internal teams and external partners. You should be comfortable analysing data, spotting trends, and translating information into meaningful recommendations. Attention to detail, a proactive mindset, and the ability to stay calm when plans change unexpectedly are all important traits we're looking for. Experience in logistics, delivery operations, vendor management, laboratory environments, or regulated industries is helpful but not essential; what matters most is a willingness to learn, collaborate, and take ownership of delivering reliable and efficient logistics support.
