Office Administrator
support to both our clients and team. Working closely with our Office Manager, you'll follow established procedures and processes to help deliver a seamless and efficient service that keeps everything running smoothly.Based in our Central Glasgow office, you'll occasionally have the opportunity to visit our Edinburgh, Stepps, and Grangemouth offices to support the team during annual leave.Your Responsibilities:
- Lead, manage and undertake administration duties relating to:
- Safe day-to-day operation and management of the office including reception, visitor management and mailroom activities
- Purchasing and supplier invoicing
- Ordering and managing stationery and staff PPE requirements
- Arranging staff travel and accommodation bookings
- Ensuring compliance with RPS Integrated Management System processes and procedures including Fire Safety Management.
- Assist in fleet management
- Assist booking staff training.
- Management of monthly client invoicing process
- Project-related administration duties in support of project delivery teams.
- Working closely with HSEQ Team and project teams in Scotland to ensure business processes are adhered to and run efficiently You will be an enthusiastic and outgoing individual who enjoys delivering an efficient and quality service through collaboration
- Previous office based administrative experience is required
- Experience with Invoicing (supplier invoicing and client invoicing)
- Clear and fluent communication skills, both written and oral
- Ability to provide line management, leadership, coaching and motivation to team members
- Ability to use their own initiative to problem solve
- Excellent IT skills and working knowledge of Microsoft Office applications
- Able to always operate in a confidential manner
