Job Purpose:
As an Operation Specialist, you will be responsible for supporting the day-to-day operations of the regional team, providing administrative and coordination support to leadership, while also overseeing outsourced personnel processes and assisting with project-related tasks. This role requires strong organizational skills, a proactive attitude, and the ability to collaborate across functions in a dynamic environment.
Key Responsibilities:
Leadership Support & Administrative Coordination
- Support senior leadership with daily tasks including PPT preparation, meeting coordination, documentation, and internal workflow design.
- Record and distribute meeting minutes, track action items, and ensure implementation.
- Participate in the development and optimization of internal mechanisms and governance processes.
Project & Outsourcing Coordination
- Coordinate outsourced personnel onboarding, contract tracking, and daily support.
- Collaborate with suppliers and internal teams to ensure service delivery quality and compliance.
- Provide basic support for project planning, progress tracking, and cross-team reporting.
Team Collaboration & Communication
- Facilitate communication and coordination across departments (PMO, Quality, HR, etc.).
- Support cross-functional task management and internal operations reporting.
- Assist in daily team affairs and help manage priorities and follow-ups.
Documentation & Process Compliance
- Maintain document systems, SOPs, and internal records.
- Support internal control and ensure compliance with corporate policies and procedures.
Qualifications and Requirements:
Education & Background
- Bachelor’s degree in business administration, project management, engineering, or related field.
- Experience or academic background in the energy, engineering, or renewables industry preferred.
Experience
- 1–2 years of relevant experience in operations, administration, or project support.
- Experience working in a multinational or cross-functional team environment is a plus.
Skills
- Proficient in Microsoft Office Suite (especially PowerPoint, Excel, Word).
- Familiarity with document or task management tools (SharePoint, OneDrive, etc.).
- Fluent in both Mandarin and English (written and spoken). Other languages such as French or Spanish are a plus.
- Strong communication, organization, and coordination skills.
- Attention to detail and ability to handle multiple priorities in a fast-paced environment.
- Self-motivated and adaptable to a dynamic, cross-cultural workplace
