Office and Facilities Co-ordinator

Blue Light Card
London

The Role and the Team

The London Holborn office is the heartbeat of BLC's day-to-day life in the capital, where teams come together to do their best thinking, build relationships, and move things forward. We're looking for an Office and Facilities Co-ordinator to be the person who makes that possible, keeping everything running smoothly so that our people can focus on the work that matters.

This is a hands-on, varied role that sits at the centre of the office experience. From welcoming visitors and managing front of house, to keeping the space well-stocked, well-presented, and ready for whatever the day brings, you'll own the detail that makes a real difference to how people feel when they walk through the door. The role is based fully on-site at our London office, five days a week.

You'll work closely with the People Team and Executive Assistants, supporting colleagues across the business and playing an important part in how new joiners experience their first day at BLC.

What You'll Do

  • Welcome visitors to the office and ensure their experience from arrival to departure is warm, professional, and well-managed

  • Maintain an accurate visitor log and manage employee passes, including issuing, tracking, and deactivating access as needed

  • Keep all areas of the office clean, tidy, and presentable throughout the day, flagging and following up on maintenance issues with building management

  • Monitor and replenish consumables across the office, from kitchen supplies to stationery, placing orders in good time to avoid gaps

  • Set up meeting rooms and prepare the space for company meetings and events, including arranging and coordinating catering logistics

  • Review DSE assessments for colleagues and arrange the equipment they need to work comfortably and safely

  • Support new joiners on their first day, helping them feel settled and set up from the start

  • Provide ad-hoc support to the People Team and Executive Assistants, responding to requests with a flexible, responsive approach

What You'll Bring

  • Experience in a front-of-house, office coordination, or facilities support role, with a track record of keeping a busy office running smoothly

  • A careful, detail-oriented approach to the physical workspace, with high standards for presentation and a proactive attitude to spotting and resolving issues before they become problems

  • Strong organisational skills, with the ability to juggle a varied workload and manage competing priorities calmly throughout the day

  • Clear, friendly communication skills, comfortable engaging with visitors, colleagues, and building management alike

  • A collaborative, supportive way of working, happy to roll up their sleeves and help wherever they're needed

  • Familiarity with ordering and managing office supplies, or confidence picking this up quickly in a new environment
