The Role
The Damp Coordinator plays a pivotal role within the Damp Division of our client, based at our Fulham HQ.
Reporting directly to the Operations Manager, the coordinator ensures the seamless management of client inquiries, survey bookings, job scheduling, and project delivery.

Minimum Requirements:
- Minimum of 3 years proven background / experience in scheduling, coordinating and project administration within the property services, construction or facilities management industries.
- At least 2 years damp experience is preferred.
- Strong organisational skills with exceptional attention to detail and accuracy.
- Excellent written and verbal communication skills with a clear client-facing manner.
- Demonstrated experience managing job bookings and tracking systems (Podio experience preferred but not essential as full training provided).
- Professional telephone manner with the ability to handle both client inquiries and contractor liaison.
- Ability to manage multiple priorities while maintaining composure and accuracy.
- Proficient in Google Workspace and comfortable using CRM or project management platforms.
- Excellent diary management skills and must be adaptable.
- Excellent team and client management skills essential.
- Proactive, solutions-focused mindset with a commitment to delivering high service standards.
- Computer literacy – MS Office, Google documents
- Must reside within less than 1-hour drive from Fulham, London SW area.
Duties & Responsibilities:
- The role serves as the primary point of contact between clients, surveyors, tradespeople, subcontractors, and internal teams.
- Responsible for maintaining high standards of communication, operational efficiency, and project documentation.
- Delivering an outstanding client experience and supporting the company’s reputation for excellence.
- Manage incoming client inquiries and convert them into scheduled damp surveys and works.
- Book and coordinate damp surveys, ensuring timely delivery of reports to clients.
- Liaise closely with surveyors to ensure they are briefed for all jobs and reports are completed accurately.
- Track and follow up on quotes, manage approvals, and convert successful quotations into scheduled works.
- Coordinate damp works projects—confirm tradesmen availability, order materials, arrange access, and manage project progress through to completion.
- Provide regular project updates to clients, ensuring expectations are managed and satisfaction is maintained.
- Maintain up-to-date job records and documentation in Podio.
- Track profit margins, issue invoices, and follow up on payments in line with company terms.
- Act as the key communication point for all parties involved in damp works—including clients, internal staff, subcontractors, trades, and suppliers.
- Ensure compliance with company processes and procedures for financial accuracy, safety, and operational efficiency.
